Role Overview:
We are looking for a highly organized and detail-oriented HR Admin to support the efficient operation of our HR function in the Malta office. The successful candidate will be responsible for maintaining accurate employee records, ensuring compliance with Maltese employment regulations, and assisting with key processes throughout the employee lifecycle. This role requires strong administrative skills, a solid grasp of HR practices, and a proactive, hands-on approach.
Key Responsibilities
Handle daily HR administrative duties, including maintaining employee files, documentation, and organized filing systems.
Support end-to-end onboarding and offboarding processes, ensuring a smooth and professional employee experience.
Prepare, update, and manage employment contracts, amendments, and other HR documentation in accordance with Maltese labour laws.
Ensure timely, accurate, and confidential maintenance of personnel data within HR systems.
Collaborate with legal and compliance teams to ensure HR policies and procedures meet all regulatory standards.
Provide general administrative assistance to the HR team and management.
Assist the finance team by reviewing and verifying month-end payroll calculations.
Coordinate with internal departments on office maintenance, supplies, and inventory management.
Job requirements
Requirements
Proven experience in HR administration or a related support role.
Strong understanding of HR administrative processes and HR best practices.
Good knowledge of Maltese employment legislation or the ability to quickly acquire required legal expertise.
Exceptional attention to detail and strong organizational capabilities.
Excellent communication and interpersonal skills.
Proficiency in MS Office; experience with HRIS or ATS tools is considered an advantage.
Fluency in English, both written and spoken.
